The short answer

Read every page, keep the envelope and receipt date, and promptly communicate the appointment. The word summons alone does not identify the procedure: police and court documents may have different purposes and requirements.

Record the essentials before interpreting

Note the authority, case or reference number, addressee, stated role, time, location and requested records. If authenticity is in doubt, independently verify the authority’s official contact details.

Do not borrow someone else’s deadline

Someone else’s experience may be reassuring without matching your procedure. This guide deliberately gives no single number of days for all notices; the actual document and applicable rules must be checked.

Prepare a balanced chronology

Write a dated chronology, distinguishing personal knowledge from reports by others. Include records that may contradict your explanation. Do not alter messages, delete chats or create retrospective documents.

The initial discussion file

Provide complete, legible copies, retain originals and identify missing material. Do not delay urgent contact while making a polished file.

  • Complete notice and attachments
  • Envelope and delivery record
  • Chronology and relevant parties
  • Contracts, chats and transactions
  • Questions and appointments to confirm

Contact is not the same as accepting an engagement

The office reviews scope and conflicts before accepting an engagement. Sending documents by LINE should not be taken as confirmation that someone will attend or act for you at the appointment.

Common questions

Is the appointment page enough?

Send all pages and attachments for context.

Should I wait until the file is organised?

Send the notice and appointment details first, especially when time is short.

Does a LINE message confirm representation?

Scope and acceptance must be confirmed first.

Sources and scope

A general document-preparation checklist, not a statement of the rights, duties or deadline attached to a particular notice.
